This Privacy Policy explains how J4 LLC (“we,” “us,” or “our”) handles information in connection with our custom AI assistant (“the Assistant”) made available through ChatGPT.

The Assistant is designed primarily to support business, marketing, analytics, advertising, e-commerce, and related operational activities.

1. Information the Assistant May Process

When you interact with the Assistant, information you voluntarily provide may be processed in order to respond to your requests.

This may include:

Questions and instructions submitted to the Assistant
Marketing or advertising information
Business performance information
Product or e-commerce information
Campaign names, IDs, metrics, and analytics
Information retrieved from authorized third-party services through API integrations
Other information necessary to perform a requested function

Users should avoid submitting sensitive personal information unless it is necessary for the intended business purpose.

2. API and Third-Party Integrations

The Assistant may connect to external services through APIs or other authorized integrations.

Depending on the functionality enabled, these services may include advertising platforms, e-commerce platforms, analytics systems, marketing tools, or other business services.

When a user requests information that requires one of these integrations, relevant information may be transmitted between ChatGPT and the applicable service in order to complete the request.

The Assistant is intended to access only information necessary to perform the requested function.

3. How Information Is Used

Information processed through the Assistant may be used to:

Retrieve authorized business information
Analyze advertising and marketing performance
Analyze sales and e-commerce performance
Generate reports and summaries
Assist with marketing decisions
Provide recommendations based on business data
Perform actions specifically requested by an authorized user
Maintain, secure, and improve the functionality of our integrations

We do not use information obtained through the Assistant for unrelated advertising purposes.

4. Data Sharing

We do not sell personal information obtained through the Assistant.

Information may be transmitted to service providers or platforms when necessary to complete a function requested by the user.

For example, when the Assistant uses an API integration, information necessary to execute that request may be exchanged with the applicable API provider.

Each third-party platform may process information according to its own terms and privacy policy.

5. ChatGPT and OpenAI

The Assistant operates through ChatGPT, a service provided by OpenAI.

Information entered into ChatGPT may also be processed by OpenAI according to OpenAI's applicable terms, privacy policies, product settings, and data controls.

This Privacy Policy applies to the systems and API integrations operated or controlled by J4 LLC. It does not replace or modify OpenAI's own privacy practices.

6. Data Retention

J4 LLC retains information received directly through its API integrations only for as long as reasonably necessary to provide the requested functionality, maintain security, comply with legal obligations, or support legitimate business operations.

Some third-party services connected to the Assistant may independently retain API requests, transaction records, logs, or other information according to their own retention policies.

7. Security

We use reasonable administrative and technical measures designed to protect credentials, API connections, and business information from unauthorized access, disclosure, alteration, or misuse.

However, no internet-based service or electronic transmission method can be guaranteed to be completely secure.

8. API Credentials

API keys, authentication tokens, passwords, and other credentials used by the Assistant are intended solely to enable authorized integrations.

Users should not intentionally submit API credentials, passwords, financial credentials, or other authentication secrets directly into normal ChatGPT conversations.

Where possible, authentication credentials are handled through the configuration of the applicable integration rather than through user prompts.

9. Authorized Use

The Assistant and its connected services are intended for authorized users.

Users must not attempt to:

Access information they are not authorized to access
Circumvent authentication or security restrictions
Use the Assistant to obtain another person's confidential information
Misuse connected APIs or services
Perform unlawful activities through the Assistant

10. Personal Information

The Assistant is primarily intended for business analytics and operational purposes and is not designed to intentionally collect sensitive personal information.

Depending on the connected service and the user's request, some business records may contain personal information.

Where such information is processed, it should only be accessed when necessary for an authorized business purpose.

11. Children's Privacy

The Assistant is not intended for use by children under the age of 13, and we do not knowingly use the Assistant to collect personal information from children.

12. Your Choices and Requests

If you believe information relating to you has been processed through one of our integrations, you may contact us to request information about our handling of that data or to request correction or deletion where applicable.

Requests may be subject to identity verification and applicable legal requirements.
